Shared accommodation is when different people share specific spaces in the property. Typically, each one has their own bedroom and shares other rooms like the living area, kitchen and sometimes the bathroom. In simple terms, it is One person moving into a room of a house.

Shared Houses Rules and FAQ'S

General House Rules


Opposite gender guest at house:

We want to be sure that all our customers are comfortable in their homes. For this reason, stay of opposite gender guest are not allowed beyond 9 pm and that too is allowed only with the consent and consensus of all other flatmates and this applies to parents and other family members as well. Some apartment societies may have their own rules in this regard and in these cases, the society rules take precedence over this rule.

Overnight Stays of guest:

Thats the advantage of living in house rather the PG/Hostel. People of same gender can stay overnight. Just make sure a written consent has to be taken from all other flat mates which has to be approved by us in advance. However, we reserves the right to approve/disapprove any such request, followed by submission of KYC documents of guests. Expenses of any such stays have to be mutually dealt with other flat mates.

Pets inside the house:

We totally understand your love for animal. However, unforeseen issues such as allergies and hygiene can often make this a little difficult for your flatmates to deal with. For this reason, we don’t allow pets in our shared homes.

Rules regarding common spaces, furnishings, appliances and services

Consider it to be your house and problem will be solved. Everyone equally needs the fridge or the washing machine. Leave enough space on the shelves, take your clothes off as soon as they’re washed or dry, keep the house (bathrooms especially) clean and you’re good to go. Don't use the furniture to dry clothes.

Parties or get-togethers in house:

Tenants can have little parties as long as they considerate to your flatmates and neighbors. Don’t be too noisy late into the night, clean up after yourselves and don’t damage any house property. In case of any such damage, host tenant shall be responsible for the rectification and cost therto. Most importantly, make sure you’ve informed your flatmates beforehand. As long as you can keep things under control, have all the fun you want! You will be held responsible for your friends conduct & its consequences thereafter. One has to follow society rules for parties and guest hosting.

Timing Restriction in house:

This is not PG. You are free to come and go whenever you like, whether it’s 7 pm or 4 am. It might be helpful to let your flatmates know beforehand if you’re coming back very late though, so that you don’t have to unnecessarily disturb them. Again, if your society has differing rules regarding this, those will take precedence.

Waste Segregation/Management:

Waste segregation is mandatory as per BBMP. All garbage must be disposed daily in bags. Moreover, everyone wants Hygeine. To ensure this, it is advisable to clean dustbins of the house at regular intervals.


Booking

Token Amount:

The token amount is the amount given to confirm the booking of the house. It is adjustable with the security deposit.

Booking cancellation charges

If agreement is not signed:

If you make a cancellation within 24 hours of booking, token amount will be forfeited. Otherwise, entire paid amount or one month rent whichever is higher will be forfeited.

If agreement is signed:

Agreement terms and conditions will be applicable.

Security Deposit

Security deposit refund terms


Security deposit shall be refunded to Licensee with deductions (if any) within 10 (Ten) business days of following whichever is later-

· termination of the license

· Day of vacation of scheduled premises/flat

· Repairs and maintenance of damages caused by Licensee.

· Completion of exit formalities.

All Refunds shall be processed via cheque/online transfer.


Security deposit deductions:


There is a mandatory deduction amount from security deposit which varies from 3,000/- to one month rent. The same will be disclosed by us before booking itself.

In addition to mandatory deduction, following charges will be deducted:

· Charges for damages caused by the Licensee based on actuals

· Painting Charges if it is not handed over in same condition as it was given.

· One month rent if vacated before expiry of lock in period.

· One month rent if the tenant does not serve the notice period of one month.

· Any late payment fine

· Any unpaid rent, utility payments, other outstanding.

· Any unpaid penalty

All the above charges and penalties are mutually exclusive of each other.

Rent

Rent INCLUSIONS (List A):

· Home & furnishing charges

· Society maintenance charges

Rent EXCLUSIONS (List B):

· Electricity Charges

· Cooking Gas charges

· Internet Charges

· Any items that is not covered under furnishing & fitting.

· Day to day cleaning or maid charges

· Periodic maintenance of appliances.

· Water charges.

· All utility charges

· Any other charges which are not listed in List A above.

Rent for Moving In Month:

For the month in which you move-in, we will charge you the rent according to the number of days remaining in the month. Post that, it will be a monthly rent that will have to be paid before the 5th of each month.

late payment penalties for the monthly rent:

1% of the License fee per day


INTERNAL TRANFER

Following Charges shall be applicable for the Licensees opting for Internal Transfer-

  1. Transfer to other room within the house: INR 1,000

  2. Transfer to Different House:

Transfer within lock-in period: INR 2,000 + 50% of License fee

Transfer after lock-in period: INR 2,000

Additional amount may be deducted in case of any damages in the previous room/house subject to the inspection conducted by our executive or complaint by flatmates.

POSSESSION ISSUES AFTER MOVE-IN

All issues reported within 7 days of move-in via email (verbal communication to anyone, whatsapp, messages etc would not be entertained) would be addressed as below:

· First Tenant move in to a House - all house/room/bed level issues to Staypolis.

· First Tenant to a Room but not first Tenant to a House - all house level to existing Tenants, room/bed level to Staypolis.

· Subsequent Tenants to a Room - all house/room level to existing Tenants, bed level to Staypolis.

All issues (non structural) post 7 days to be borne by Tenants.

KEYS HANDOVER during moveout:

Procedure to hand over the Keys to Staypolis is as below-

1. Date of handover: On or before the day of termination

2. Time of handover: Normal business hours, between 10 AM to 6 PM

3. If Tenant fails to hand over the keys as per point no. 1 and 2 above, following penalties would be charged:

· 15 days of rent in case it is returned within 5 days of termination

· One month rent in case it is further delayed by 5days (against carpentry fee, lock changing charges, duplication of keys charges, goodwill loss of Owner/Staypolis to new Tenants, etc)

How many days will SimplyGuest take to return my security deposit when I move out?

Once you’ve finalised your move out with us, your rent will be calculated until the day that you hand over your keys. We will subtract the end of term charges from your deposit and transfer the rest of the amount to you within 3 working days. If you’ve violated your 30-day notice period, we will also subtract the rent for the number of days pending in your notice period. If you’ve violated the minimum stay policy, we will subtract one month’s rent as a penalty from your deposit in addition to the end of term charges.

If I violate the minimum stay period but find a new tenant to take my place, will the penalty still apply?

Yes, this penalty will apply to anybody who violates the minimum stay policy whether a new tenant occupies the space immediately after or not. However, if you find us a tenant, we will give you a discount of 1000 rupees on your penalty.


HRA Claim

Rent includes Society Maintenance, funishing Charges and staypolis service charges. HRA will not cover these charges/expenses. Hence, you can claim the HRA on the base rent.

House Keys LOSS/MISPLACED:

i. In the event of loss of keys, LICENSEE should approach the Authorized Representative and ask for a new key and the cost of the same has to be borne by Licensee.

ii. In the event of keys misplaced or left inside the room/flat and only door opening is required, INR 200/- will be charged. However, this facility can be availed as per the availability with the Authorized Representative. This is beacause All keys are in a secure facility and even our staff need prior permission to access them.


Safety, Theft and Damages

Who is responsible for theft of or damage to tenants personal belongings?

Staypolis provides you with all the facilities you need to keep important things safe. Our tenants are provided with a wardrobe, and the key to this is held only by the tenants themselves; not even Staypolis staff have access to these wardrobes. So, we wouldn’t be able to take responsibility for loss of your things.


Who is responsible for loss of or damage to common furnishings or appliances?

In case of theft/loss and damage of any furnishing or appliance or furniture, all the Licensees shall be held responsible & LICENSOR or its Authorized Representative shall have the right to deduct money from security deposit of Licensees towards compensation of the loss. In case of irreparable/unrectifiable incidence, penalty could be imposed depending upon the incidence, damage and discussion with the flat mates (If necessary).

INSPECTION/VISIT: Owner/Staypolis staff shall be entitled to enter the flat at all reasonable hours for the purpose of inspection/maintenance drives/ showing flat. Service Provider may keep a copy of the keys of LICENSEE house (Main door and rooms, not cupboards). Tenants are advised to keep their valuables locked inside the cupboards. Saypolis shall not be responsible for any theft or accidental damage to LICENSEE’s valuables in case of an untoward incident.


Flatmates

Adjustment with flatmate:

Sharing a house with other people means that each person has to make minor adjustments and compromises so that living together is easy for everyone in the house. It is, of course, quite natural if you dislike some aspect of your roommate’s behavior. We encourage you to talk to him/her about this and resolve it amongst yourselves. Unless it is a violation of the rules we have listed, we will not take responsibility for your roommate’s behavior. If you are still finding it difficult to adjust, we recommend that you move to another of our properties; we can always help you with this.

Hygeine in the flat:

Just to ensure this, we have made rules like- Keeping a maid for common area is mandatory, regular waste disposal etc

I have a problem with my flatmate drinking/smoking in the house. Can something be done about this?

We consider drinking a personal choice and therefore unless your flatmate is unable to handle himself/herself and is disturbing others, we will not act on your complaint. Smoking, however, is strictly prohibited inside the house as it can be troublesome to others. If your flatmate violates this rule, you can raise a complaint, and we will take the necessary action.


Society


The house association/security personnel is doing moral policing. Can you help me?

staypolis homes are located in all kinds of societies. Some of these societies have their own rules. For example, some apartment complexes will not let you have guests of the opposite gender stay beyond a particular time. In these cases, society rules take precedence over SimplyGuest rules simply because we do not want to get into a conflict with them. However, if there are any such society rules, they will be told to you explicitly when you are visiting the house before deciding on moving in. If moral policing is being done despite no such rule existing, do reach out to you and we will help you out in our best capacity.

My neighbours are too noisy/are bothering me. Can SimplyGuest do something about this?

Regardless of where you live, there is always a possibility that you might end up with a not-so-great neighbor. However, there is nothing we can do about this because in most cases, we don’t manage all the houses in the building, so your neighbors may not be our customers. You can always try and talk to your neighbors or register your complaint in the association’s forum. We, however, will be unable to help you out in this regard.

How can I refer my friends to SimplyGuest?

It would make us very happy if you like our services enough to bring your friends and family along too! Ask them to reach out to us at contact@simplyguest.com or 7406779911. Make sure they mention your name to us in their enquiry so that we can give you the referral reward of 750 rupees.

We are a group of 3 friends who want to move in at the same time. Can I sign up first and then give my friends’ names as referrals?

Sure, you can do that. It's certainly not against our rules and you will get your referral reward once your friends have completed 3 months of stay with us. However, keep in mind that referrals can only be made after you become a customer, and this process may take a few days. There is certainly a chance that the beds or rooms your friends were planning to move into will be booked by somebody else during this period.

Can I adjust the referral amount against my rent?

If you're still staying in a SimplyGuest home when your friend completes 3 months with us, the reward will be adjusted against your rent by default. If you have moved out by then, we will transfer the sum to your bank account.

Can I refer SimplyGuest to my company?

Sure, you can do that. We directly work with companies to provide their employees with the best deal in the market. We also regularly take part in their inductions to provide employees with living spaces near their workspaces, curtailing the travel time and give an all in one experience.

What is the referral reward? How and when will I get it?

A referral reward of 750 rupees will be given to you for every tenant that you bring us. This reward will be given to you as a discount on your rent as soon as your friend has completed 3 months of stay with us. If you move out before that period, we can always transfer the amount to you when your friend completes the 3 months.

Is there any limit on the number of referrals I can make?

Definitely not- the more the merrier! Keep in mind, however, that you will receive your reward for each person only as and when they complete 3 months of stay with us.
